Accounting Technician

Job Summary:      

Reporting to the Manager, Finance and Billing, the Accounting Technician is responsible for all billing and finance tasks related to their assigned client portfolio. The Accounting Technician is expected to gain a thorough understanding of the in-house billing system used to produce client billings and collaborate with other departments (Consulting, Policy Implementation, IT, etc.) to ensure the completeness, accuracy, and appropriateness of client billings. The Accounting Technician is also responsible for the collection of accounts receivable for their assigned client portfolio, as well as preparing the monthly reports required for their assigned clients. Depending on the Accounting Technician’s assigned client portfolio, monthly client financial reporting will include documents such as (but not limited to):

  • “TPA Summary” – report detailing the remittance of premiums billed and collected  on behalf of insurance carriers
  • Administrative Services Only Report (“ASO Report”) – report reconciling the monthly opening and closing balances of self-insured benefit plans
  • Health Care Spending Account Summary (“HCSA Summary”) – report detailing HCSA funding, the eligible claims submitted by members, as well as opening and closing balances
  • Bank reconciliations and intra-account bank transfers (internal reports) for respective clients

In carrying out these tasks, the Accounting Technician shall apply their organizational skills and accounting knowledge in classifying and processing transactions, maintaining appropriate accounting records, reconciling balances, as well as compiling, reviewing and verifying client data and information to prepare all necessary reporting for the clients assigned to them. The Accounting Technician is also expected to maintain appropriate documentation of their processes, investigate and resolve suspected discrepancies and assists management in carrying out initiatives such as, but not limited to, improving cash flow analysis, mapping of processes and internal controls, identifying efficiencies and implementing process changes.

The Accounting Technician is expected to perform these functions in an accurate and timely manner in accordance with the contractual requirements of our Client Agreements while applying IFRS accounting principles and sound financial management practices. The Accounting Technician may also be responsible for providing day-to-day leadership, training and guidance to other junior Accounting Technicians.

Essential Duties and Responsibilities:

1. Utilizing a combination of our in-house computer system, our internal accounting software, and spreadsheet programs, the Accounting  Technician is responsible for producing the following items as they relate to their assigned client portfolio in a timely, complete, and accurate manner:

a.     Periodic client billing (weekly, monthly, quarterly);

b.    Collection of accounts receivable related to client billings for their assigned client portfolio;

c.     TPA Summaries;

d.    HCSA Summaries;

e.     ASO Reports;

f.     Bank reconciliations;

g.    Bank account transfers

2.       The Accounting Technician shall maintain timely and accurate records for its assigned client portfolio. In doing so, the Accounting Technician is expected to monitor the receipt of payments and disbursements, monitor bank account balances to ensure sufficient funds exists in the various client bank accounts, execute transfers of funds between bank accounts to meet cash disbursement requirements, and maintain appropriate documentation of all tasks performed.

3.       The Accounting Technician must remain vigilant in identifying variances and discrepancies in the billings and reporting they produce. Any suspected variance and/or discrepancy must be investigated and resolved. The Accounting Technician is expected to be resourceful, work independently, and apply their judgement in notifying and involving management to resolve any material variances and/or discrepancies.

 4.       The Accounting Technician shall maintain clear and concise documentation of the processes related to their assigned client portfolio. The documentation of processes must remain current and any changes to processes, procedures, and/or the related internal controls must be documented and subsequently reviewed and approved by management.

5.       The Accounting Technician provides accurate and timely information and assistance to its assigned client portfolio. In liaising with external clients, the Accounting Technician shall collaborate with other internal departments to provide clients with accurate information and a seamless client experience.

Qualifications:         

  • Completed post-secondary education in accounting and/or finance
  • Sound knowledge of generally accepted accounting principles (IFRS, Canadian GAAP).ound knowledge of generally accepted accounting principles (IFRS, Canadian GAAP).
  • Sound knowledge of accounting and internal control policies and procedures.
  • Two or more years of progressive experience an accounting or financial record keeping role.
  • Able to routinely set and meet deadlines while communicating these effectively. 
  • Principles and practices of customer service and proper etiquette for client interaction.
  • In-depth knowledge of Microsoft Office Suite (Excel, Word, Outlook, etc.) and accounting software.
  • Communicate clearly and effectively in both official languages: English & French.
  • Organized, able to effectively and efficiently set priorities, and take initiative while exercising sound judgment.
  • Able to exercise tact and diplomacy in dealing with sensitive, complex and confidential issues and situations.
  • Able to establish and maintain effective working relationships with managers, coworkers (inter and intra departmental) and clients.
